This Refund Policy explains our policies regarding refunds and cancellations for FileSworn subscriptions operated by Verifore Technologies LLC.
1. Monthly Subscriptions
- Cancellation: You may cancel your monthly subscription at any time through your account settings or by contacting support
- No Refunds: Monthly subscriptions are non-refundable for the current billing period
- Continued Access: After cancellation, you retain full access to all features until the end of your current billing period
- Data Retention: Your files are retained for 30 days after cancellation, giving you time to download or export your data
- Automatic Downgrade: After your subscription ends, your account automatically converts to the free Essential tier
2. Annual Subscriptions
First 30 Days
Annual subscriptions are eligible for a pro-rated refund within the first 30 days:
- Pro-rated refund based on unused time (calculated daily)
- Request must be submitted within 30 days of initial purchase
- Refund processed within 5-7 business days
- Account immediately converts to free Essential tier
After 30 Days
- No Refunds: Annual subscriptions are non-refundable after the first 30 days
- Alternative: You may downgrade to a monthly subscription or lower tier at the end of your annual period
- Cancellation: You may cancel to prevent auto-renewal, but no refund will be issued for the remaining period
3. Free Tier (Essential)
The Essential tier is free and does not involve any payments. No refunds are applicable.
4. Special Circumstances
We may issue refunds or credits in the following situations:
Service Outages
- Extended service outages (beyond SLA guarantees) may qualify for pro-rated credits
- Credits are automatically applied to your account
- Enterprise customers: See Service Level Agreement for uptime guarantees
Billing Errors
- Full Refund: Issued immediately if we mistakenly charge you
- Duplicate Charges: Full refund for any duplicate charges
- Wrong Amount: Correction and refund of the difference
Exceptional Cases
We review refund requests on a case-by-case basis for exceptional circumstances such as:
- Technical issues preventing service use (after support attempts)
- Serious product defects or feature failures
- Significant changes to features or pricing (retroactive refund may apply)
5. Downgrades & Plan Changes
Downgrade Process
Instead of canceling, you may downgrade to a lower-tier plan:
- Downgrade takes effect at the end of your current billing period
- No refunds for the difference in price
- You retain full access to your current tier until the downgrade takes effect
- Storage and features adjust automatically when downgrade activates
Upgrades
- Upgrades take effect immediately
- Pro-rated charge for the remaining period
- No refunds if you decide to downgrade again
6. How to Request a Refund
To request a refund, please contact us with the following information:
Please include in your request:
- Your account email address
- Subscription type (Essential, Professional, Enterprise)
- Billing period (monthly or annual)
- Reason for refund request
- Date of original charge
Response Time: We will respond to refund requests within 2-3 business days. Approved refunds are processed within 5-7 business days.
7. Failed Payments
- Retry Policy: If a payment fails, we will retry up to 3 times over a 7-day period
- Email Notification: You will receive email notifications about failed payment attempts
- Grace Period: You have 7 days to update your payment method before service suspension
- Suspension: After 7 days of failed payments, your account will be suspended and downgraded to the free Essential tier
- Data Retention: Your files are retained for 30 days after suspension, allowing time to reactivate
8. Account Termination for Violations
If your account is terminated for violations of our Terms of Service or Acceptable Use Policy:
- No Refunds: No refunds will be issued for any remaining subscription period
- Immediate Suspension: Your account and all data will be immediately suspended
- Data Retention: Data may be retained for legal purposes or law enforcement investigations
9. Payment Processing
All payments are processed by Stripe. Refunds are issued to the original payment method used for the purchase. Please allow 5-7 business days for refunds to appear in your account, depending on your bank or credit card issuer.
